• Account information — email address, name, and company name provided during registration
• Payment information — processed by Stripe. We do not store credit card numbers on our servers.
• Website analytics — we use Google Analytics on the airdocs.ca website to understand how visitors interact with the site. This may include anonymized page views, referral sources, and general geographic information. We do not collect usage data about your activity within your AIR instance.
• Technical data — server logs may contain IP addresses, browser types, and request metadata. We do not actively collect or analyze this data, but it may be visible to us as a normal part of server operations.

We use the information we collect to:

• Provide and maintain the AIR service
• Process payments and manage your subscription
• Communicate about your account, including service updates and security notices
• Understand how visitors use the airdocs.ca website so we can improve it

We do not sell your personal information to third parties.

Documents you upload to AIR are subject to the following protections:

• Your documents are processed solely to provide search functionality
• Your documents are not used to train or improve AI models
• Your documents are not shared with any third party
• Your documents are stored in your dedicated, isolated instance
• Upon account termination, all documents are permanently deleted after the grace period

While we take reasonable measures to protect your documents, no system can guarantee absolute security. You are responsible for ensuring you have the necessary rights and permissions to upload any documents to AIR. For organizations with strict data privacy requirements, AIR On-Premises provides complete control over your data on your own infrastructure.

• Data is stored on bare-metal servers in Canada
• All data is encrypted in transit (TLS 1.2+)
• Each customer's data is logically isolated in a dedicated instance
• We implement access controls, monitoring, and regular security reviews

• Your data is retained for as long as your account is active
• After account termination, a 7-day grace period applies
• After the grace period, all data is permanently and irreversibly deleted
• Server logs are retained for 90 days for security purposes

We use the following third-party services:

• Stripe — processes payments. Receives your email, name, and payment information. Stripe's privacy policy.
• Google Analytics — collects anonymized browsing data on the airdocs.ca website. Does not collect data from within your AIR instance. Google's privacy policy.
• Cloudflare — provides DNS and network security. May process IP addresses and request metadata. Cloudflare's privacy policy.
• Resend — delivers transactional emails (account notifications, login codes, billing alerts). Receives your email address and email content. Resend's privacy policy.
• Authentik — provides authentication for your AIR instance. Runs on Capital Reasoning Solutions-controlled infrastructure.

We use essential cookies required for authentication and session management. We also use Google Analytics on the airdocs.ca website, which may set cookies to collect anonymized browsing data. We do not use advertising cookies or tracking pixels.

You have the following rights regarding your personal data:

• Access your personal data held by Capital Reasoning Solutions
• Request correction of inaccurate data
• Request deletion of your data (which will result in account termination)
• Export your documents at any time
